For in person or mail records request, review the following:

Hours of operation are Monday - Friday, 8:00 a.m. noon and 1:00 p.m. to 4:30 p.m.

The Clerk's Office closes promptly at Noon for lunch and 4:30 for the day.

Please have all filings, requests or other business to the Clerk by 11:45 and 4:15 so we may assist you prior to closing.

We do not accept in person requests after 4:15.

The Records Management Department is the keeper of the court Records for the 10th Judicial District

What Records Management can provide

  • Copies of public documents (fees required)
  • Public terminals for individuals to do case and document searches (no fee required if viewing only)
  • Searches for archived cases that have not been converted to our system (some fees may be required)

What Records Management does NOT provide:

  • Arrest records and police reports

To make a records request:

All requests must be in writing and payment is required prior to the request being filled. PLEASE CALL FOR A PRICE QUOTE PRIOR TO SUBMITTING YOUR REQUEST We require one request form per case number.

Once you have a price quote, you may submit your request form in one of the following ways:

  • By mail: Clerk of the District Court, Attn: Records, 150 W. Santa Fe, Olathe, KS 66061
    • Send completed request form with one of the following payment types:
      • Personal or firm check - please provide driver license number and date of birth on check
      • Money order
      • Cashier's check
      • Please do not send cash
  • In person: Clerk of the District Court, 150 W. Santa Fe, Suite 1100, Olathe, KS 66061
    • Bring in completed request form or fill one out in person. Payment is accepted by:
      • Debit of credit card - government issued ID will be required. Processing fee will be added by credit card to total.
      • Personal or firm check - government issued ID will be required
      • Money order
      • Cash
  • WE ARE UNABLE TO ACCEPT PAYMENT BY EMAIL

Time frame to receive requested documents:

Per Kansas State Statute 45-218, we have 3 business days to respond to your request. For all requests, if it will take more than three business days, we will notify the requester of an estimated time frame for completion.

In person requests made prior to 4:15pm, except for archived or microfilmed cases or large requests, are generally filled at the time of the request. All requests after 4:15pm will be processed the following business day.

Archived or microfilmed requests generally take three days to fill but can take longer for older cases.

Please note that we have experienced delays in delivery for record requests that have to be mailed through the USPS to requesters.

Overnight delivery via FedEx, UPS or USPS must be prepaid by requester.

Fees:

  • printed copies                   $.50 per page
  • emailed copies                 $.60 for first document and $.30 for each additional document per case
  • Special emailed copies       $.90 for first document and $.60 for each additional document - per case
  • document certification       $1.00 per document
    • certifies that it is a true copy of the original document with a raised seal
  • document authentication or attestation   $2.00 per document
    • authentication is a cover pages that authenticates that it is a true copy of the original document with two raised seals
    • attestation (a.k.a. triple seal) is a two-sheet cover page that attests that it is a true copy of the original document with the Chief Judge’s and the Chief Clerk’s signature and three raised seals
  • pre-authorized search     $12.00 per hour

Apostille:

An apostille is a certified and authenticated document that, upon receipt from the Records Department, the requester then sends or takes to the Kansas Secretary of State for verification of the seals and signatures on the authentication. This is mainly for documents that need to be used in foreign countries. All fees for copy work and authentication apply. The Secretary of State may also charge a fee for this service.
